The Administration & Operations intern will be assisting the Administration and Operations Manager to ensure that the relevant Students’ Union operations are successfully run in accordance with our internal processes and procedures, adhering to the agreed guidelines whilst ensuring that all queries are responded to in a professional manner and that all financial procedures are completed correctly. The post holder will work closely with the Administration & Operations Manager, and assist with basic administration tasks relating to payroll and HR duties, health & safety, and IT services, and will be the first point of contact for all customer enquiries.

 

Main duties:

  • To carry out general administration duties including: IT, general operations and administration as required by Administration & Operations Manager.
  • Dealing with telephone queries where possible before passing them on to the necessary person, taking messages, and responding positively to all telephone enquiries.
  • Order and maintain office supplies
  • Report any issues with the photocopier to the necessary supplier, and monitor call out times etc
  • Provide an excellent standard of customer care and convey a helpful positive image to all students/staff/externals.
  • Follow QMSU processes in the execution of duties and assist in the development of any necessary processes/procedures in order to carry out the duties of this post.
  • Undertake such duties as may be reasonably requested by the other senior members of staff within QMSU.
  • To utilise good communication skills to receive, and then respond to any enquiries from students and staff of QMUL, and on occasion external contacts.
  • Act as a filter for issues/problems addressed to the Administration & Operations Manager, and provide effective support as and when required.
  • To provide administrative support to the Administration & Operations Manager
  • To work on the Students’ Union environmental and ethical projects.
