Main duties and responsibilities of the role

Student Union Team Members are responsible for manning the Reception desk, providing the highest standards of customer service and fulfilling responsibilities in accordance with the established procedures. Team members promote the work of the Union and key projects to the student body as well as carrying out administrative tasks on behalf of permanent staff and Executive Officers.

General, health and safety and finance

  • Ensure high levels of customer care and satisfaction, and maintain a high degree of professionalism in all areas of work.
  • Be approachable and friendly to all members and customers.
  • Attend meetings and training as and when required.
  • Meet all health and safety requirements and policies.
  • Follow set finance procedures accurately. 
  • Have an understanding of the environmental policies in place, and implement them where possible.
  • Any other duties as may be reasonably expected by your line manager.

 

Reception

  • Provide a welcoming reception to the Union buildings.
  • Follow established procedures for booking rooms and carry out other activities associated with working at reception.
  • Carry out basic financial procedures and duties, selling tickets for events cashing up daily.
  • Book members into classes and activities using the membership system and taking payments.
  • Operate the union switchboard, routing calls and taking messages.
  • Handle customer queries, including telephone and email.
  • Process memberships for clubs & societies.
  • Distribute keys/ lockers to students and keeping records of issues.
  • Ensure the area is kept clean, tidy and free from obstruction.
  • Report all accidents and injuries in the accident log.
  • Ensure that all customer complaints are dealt with immediately.
  • Report any facility faults or fabric maintenance needs to the duty manager immediately.
  • To have a full understanding of the evacuation procedure and in the event of an evacuation, perform those duties required of you.
  • Collect and distribute the post.

 

Promotion

  • To promote the Union brand and its activities to students.
  • To carry out face to face promotional activities across the different campuses.
  • Ensure all notice boards are up to date.
  • To keep a good working knowledge of the student activities, entertainments and events within QMSU, as we as a sound basic knowledge of other services offered by the Union.
  • Ensure that students are well informed of specific events, services and activities run by the Union.

 

Administration

  • Carry out filing, photocopying, typing and other general administration.
  • Support permanent staff and Executive Officers with key projects as required.

Candidates must be able to demonstrate their eligibility to work in the UK in accordance with the Immigration, Asylum and Nationality Act 2006
